Manual form fill-ups during hotel check-ins have been a long-standing process. But, they come with their own set of issues. Manual processes can miss identifying high-risk individuals during hotel check-ins. Without automated systems, it’s harder to spot suspicious or flagged guests.
Recognizing these gaps and the need for better hotel security, the client wanted to create a QR code-based app to automate check-in. The app would allow guests to quickly scan a hotel QR code and upload their IDs upon arrival. It would then send guest data to police databases automatically for real-time verification. This process would prevent fraudulent check-ins, allowing only verified guests to stay.

The client also wanted to include AI features in the app to help hotels cross-check guest data with blacklisted databases from both the hotel and the police. The AI would flag suspicious individuals before they finished checking in, adding an extra layer of protection and boosting the hotel's reputation for security.
The client approached Capital Numbers for these technological integrations after seeing how we’ve successfully turned challenges into opportunities for other clients. Impressed with our work, they trusted us to develop their QR code-based app, asking us to include different levels of automation to bolster guest identity checks.
Armed with key requirements, we set out to build the app using Laravel, HTML, CSS, and MySQL. But, developing this app required tackling several complexities along the way.
First, we integrated OCR and QR code scanning features to capture guest data quickly. These features could help guests easily scan QR codes and upload their IDs, such as passports or driving licenses, in any format, speeding up the check-in process. We then added integrations to ensure guest records captured are securely stored in the hotel's database for reference.
Next, we focused on sending guest data to local police authorities. We developed custom APIs that allow real-time data transfer from the hotel’s database to law enforcement databases. This ensures police can access guest records instantly without hotel consent, enhancing security and compliance.
We implemented robust encryption protocols like TLS 1.3 to protect guest records further and followed data privacy laws such as GDPR. These measures ensured that sensitive guest data remained secure during transfers between hotels and police authorities.

Next, we designed AI models to cross-check guest data against specific flagged databases from hotels and police authorities. We trained AI models to notify suspicious records accurately while keeping false positives to a minimum.
It was also essential to ensure real-time data transmission could handle sudden spikes in activity. So, we optimized the system for scalability, allowing it to manage thousands of guest records from multiple hotel chains without affecting the guest experience.
Additionally, the client requested to enable offline capabilities to allow disruption-free data storage in hotels with weak Internet. So, we added offline data sync features so the app could store guest data locally. When the connection is restored, the app automatically syncs the data with the hotel’s central database and external systems, ensuring no information is lost.




In just four months, Capital Numbers developed a powerful app that over 250 hotels can customize and brand to streamline check-ins and track their guests with precision down to the minute.
