For months, the client managed their party rental business the old-fashioned way - with spreadsheets and paper notes to juggle inventory, leads, invoices, and quotes. But as demand surged, this system buckled under pressure. Inventory mix-ups grew, errors piled up, and administrative chaos took over.
The breaking point came when the client accidentally double-booked popular items, leading to disappointed customers and a significant revenue hit. This costly mistake made it clear - a CRM dashboard was essential to bring order to their growing operations.
They needed a powerful CRM integrated with their preexisting website to capture every lead inquiry. When new prospects submitted inquiries on the website, the CRM recorded them as new leads and updated them in the dashboard, ensuring flawless lead tracking.

Moreover, they wanted CRM to have sophisticated mathematical calculations and well-crafted algorithms that generate quotes and invoices automatically based on customer needs. This would eliminate manual entries in endless spreadsheets.
These algorithms needed to function as follows: When a customer books an item on the website, these algorithms automatically factor in the rental price, discounts, and promotional offers, generating accurate quotes and invoices in seconds. Meanwhile, the CRM system keeps a sharp eye on stock levels, instantly adjusting product availability based on invoice data. As soon as an item is rented for a specified period, the CRM recalculates stock, updating the count and marking items as "unavailable" in real-time. When the stock refills, the system increases counts and marks items as “available,” refreshing automatically.
To build this power-packed CRM dashboard, the client approached Capital Numbers. They requested us to develop this dashboard reflecting up-to-date inventory status so that they could run their business better while the algorithms would do the math.
Capital Numbers undertook the ambitious challenge of designing this tailored CRM that involved working on many custom modules, calculations, and algorithms. Among the multiple modules, the key ones that require mention are as follows:
Engineering the lead inquiry module required building a robust API integration framework to capture leads from various touchpoints on the client’s website and feed them directly into the CRM. Each API had to be precisely configured to categorize and prioritize leads based on pre-set rules, using sorting algorithms that organized inquiries in real time.
Next, we added a brilliant rental pricing module that thinks for itself. Powered by sophisticated algorithms and predefined percentages, it fine-tunes rates and applies the ideal discount before each quote or invoice is even sent. With every new lead request, these algorithms instantly craft a personalized quote, adding a bespoke touch that wows every prospect.
Next, we focused on the stock management module. We designed an automated, real-time inventory tracker with intricate algorithms and calculations that adjusted stock levels based on invoices generated - decreasing when items are rented out and increasing when they are returned. Syncing real-time updates eliminated the risk of double bookings and created a reliable inventory management method.

Additionally, we included a smart 7-day stock refill mechanism that refreshed inventory automatically within a week of cleaned items returning to the warehouse. This kept stock visible and ready on time for the next booking, ensuring smooth and reliable operations.
We further enhanced the CRM with an email automation engine, using cron jobs to send ideally timed follow-up emails based on each lead’s engagement. This saved hours of manual work and helped nurture leads.
Each integration demanded high precision. After finally supercharging the CRM with all the integrations and techs like CodeIgniter, PHP, JavaScript, jQuery, MySQL, REST APIs, and IMAP, we worked on the final step: syncing it with the client’s website. This connection was essential to ensure every quote, booking, and stock update happened effortlessly, delivering a polished user experience.
