Intelligent Global Contract Routing Framework

Our client’s global expansion made contract routing increasingly complex and error-prone due to manual, ad hoc reviewer identification with no standardized method based on contract type, business unit, or region.

The core challenges were:

• Manual reviewer identification caused delays and inconsistencies across teams.
• Email and ad hoc routing created bottlenecks and audit gaps with no central visibility.
• Incorrect regional assignments increased compliance and governance risks.
• The existing model cannot accommodate new regions or business units without significant rework.

Compounding these challenges was a critical platform constraint: the environment did not support custom backend code or scripting. Any solution had to be entirely configuration-driven, using only native platform capabilities.

e built a scalable, intelligent Contract Routing Framework within the no-code platform environment, using data-driven, configuration-only methods.

The solution checks Record Type, Business Unit, and Region for every contract. Each combination maps to a designated Legal Owner in a central configuration table, eliminating hard-coded routing and human decision-making.

This was the end-to-end workflow:

• A contract is created with the selected Record Type, Business Unit, and Region.
• The system performs a dynamic lookup against the routing configuration matrix.
• The exact combination match identifies and assigns the appropriate Legal Owner.
• A legal review task is automatically generated and assigned to that owner.
• The task appears on the Legal Owner's dashboard, along with automated notification triggers.

Placing routing logic in a matrix lets operations and governance teams manage updates without technical support. New regions, units, or record types are added easily by updating the configuration table, making the framework future-ready.
