There’s no denying that a centralized sick leave management app is critical to viewing team availability across organizations. A unified view helps keep track of everything in one place. However, relying on emails, spreadsheets, and SharePoint to manage sick leaves can lead to poor tracking and endless inaccuracies.
The client company used mail threads, spreadsheets, and MS SharePoint to record employee sick leaves across multiple organizations. The result? Massive chaos and endless human errors. While SharePoint is a great tool for document storage, it isn’t fit for sick leave management. Long email threads also led to inaccuracies. Such hurdles led to delays and miscommunications across organizations.

Using SharePoint and spreadsheets for sick leave tracking was like forcing a square peg into a round hole. Moving away from spreadsheets and SharePoint was the need of the hour. Moreover, as employees grew, manual errors in sick leave management increased.
The client realized these gaps and approached Capital Numbers to help them with an alternative solution. They requested our team to help them build a robust sick leave management software app and wanted us to focus on two key aspects as a priority.
Firstly, they wanted us to iron out their issues with spreadsheets and SharePoint. Secondly, they wanted us to develop a multi-user web app that could report on sick leave absences at a massive scale, accommodating 10k+ absence requests without a lag.
Capital Numbers noted the requirements and began the work by eliminating the use of spreadsheets and SharePoint. Using MySQL middleware, our team systematically migrated data from SharePoint and spreadsheets to a Laravel environment.
As part of this migration process, we first exported all data from SharePoint and spreadsheets to an Excel format. We then set up the MySQL middleware to import all data from Excel into the Laravel environment.
Using the MySQL middleware, we could migrate all data from the dated systems to the Laravel ecosystem. The MySQL middleware helped us with data validation, transformation, and security, converting data into a format suitable for the Laravel application’s database schema.

Our team used CRON jobs during the data migration to ensure data imports continued automatically at regular intervals. While working on the data migration and storage, we also tapped into Laravel’s advanced capabilities for data reporting.
Next, we built a responsive frontend by leveraging JavaScript’s dynamic capabilities, jQuery’s ease of DOM manipulation, and Bootstrap’s sleek design framework. We also equipped the app with functions that could allow thousands of employees to submit sick leave requests, adding features to track sick leaves in real-time.
Next, we created notifications using WebSocket technology. WebSockets enable instant, bi-directional communication between the server and client. This ensures that organizations receive immediate updates on leave requests, approvals, and return-to-work dates without constant refreshing or manual checks. Finally, we hosted the app using AWS to ensure the system functions flawlessly even when user groups grow 5000+ or 10000+.




Within a few months of our skilled implementations, we could roll out a highly scalable employee sick leave management app and satisfy our client. Currently catering to 500+ organizations and 10,500+ employees, the app has witnessed a massive adoption that has only deepened our client’s trust in Capital Numbers.
