Optimizing DocuSign Workflows via Multi-Contract Enveloping

In high-volume contract environments, organizations often manage multiple related agreements for a single counterparty. Traditionally, these documents were processed individually, resulting in a "one contract, one envelope" workflow.

This approach created several operational inefficiencies:

• Increased Licensing Costs: Each contract triggered a separate DocuSign envelope charge, leading to higher annual expenditures.
• Fragmented Signer Experience: Signers received multiple email notifications for related documents, which led to errors or missed attachments.
• Administrative Burden: Legal and procurement teams had to track and follow up on multiple independent envelopes for what was a single business transaction.

We implemented a logic-driven solution that allows users to group multiple pending contracts for the same counterparty into a single, unified DocuSign envelope.

1. Automated Document Aggregation

The system enables users to flag specific attachments across different contract records using an Include in Merged DocuSign indicator. This allows the CLM to treat multiple files as a single transactional package.

2. Validation and Governance

To ensure legal and data integrity, the system performs automated checks before the envelope is generated:

• Entity Matching: Validates that all selected contracts belong to the same legal counterparty.
• Status Verification: Ensures only Draft or Pending contracts are included, preventing the accidental resending of active or executed agreements.

3. Bidirectional Data Mapping

A critical component of the architecture is the return path. Once the consolidated envelope is fully executed, the system utilizes unique identifiers to route each signed document back to its specific originating contract record, maintaining a clean audit trail.
